Identify the address and authorized spaces
- Record the street address, postal code, suite and whether it is in Langley City or the Township, if known.
- List reception, offices, customer areas and staff facilities proposed for service.
- Separate tenant space and shared strata or landlord areas.
- Name the contact who approves the scope and the on-site person who manages access.
Draw the operational boundary
- Identify vehicles, stock, documents and equipment that must remain untouched.
- For mixed business facilities, mark administration rooms separately from production, loading or warehouse operations.
- For a dealership, distinguish customer rooms from mechanical bays and vehicle detailing.
- For retail, note which counters are cleared and who handles merchandise or displays.
Match the tasks to the working day
- List surfaces and floor types alongside the requested cleaning tasks.
- Record opening hours, deliveries, shifts and any rooms still occupied after closing.
- Define recurring frequency and list initial or periodic work separately.
- Confirm supplies, water, storage and agreed waste-transfer points.
Review the proposal by property
- Ask for the room list and task frequency behind the price.
- Show carpet, floor or accessible-glass work as included, optional or separately assessed.
- Record exclusions and assumptions with the proposed amount.
- For multiple sites, keep a scope, access record and price for each address.
Confirm the handover
For a Langley strata request, use the property’s plan to identify the spaces under discussion. The Province’s guide explains common and limited common property without assuming every area has the same arrangement.
- Agree the permitted entrance and any loading, sign-in or elevator arrangements.
- Transfer access credentials securely after the service arrangements are confirmed.
- Name the contact for an unavailable room, unfinished task or scope change.
- Confirm the provider, timing, price and written agreement before the first visit.
