Use the actual property boundaries
Write the room list around the areas authorized for cleaning. Keep offices, customer spaces and staff facilities distinct from operational equipment or neighbouring premises.
Choose review points that match the service
Agree which accessible surfaces and fixtures will be reviewed and how concerns should be described. The animated building is an illustration of scope ideas, not a record of completed work.
Name the reason an item needs attention
A blocked route, an occupied room and an unfinished task require different decisions. Record the circumstance clearly rather than treating every exception as the same type of issue.
- Room and surface involved
- Agreed task or access requirement
- What needs a decision
- Person responsible for follow-up
Keep business information out of ordinary reports
Use a room and surface description where possible. Private papers, financial records, customer information and equipment displays do not belong in general photographic reports.
Update the agreement as operations change
New stock layouts, altered hours or a change in staff-room use can affect the task list. Review scope and frequency with the provider and keep the current version available to the responsible contacts. Changes to a workspace can bring different surfaces or products into use. Include relevant care instructions and product information in the revised brief, using WorkSafeBC’s guidance on labels and safety data sheets.
